Please take a moment to read all the information on this page, as it’s all important. (There’s a fair bit of it, though, so please do grab your favourite drink and/or snack first. 😉)

If you read anything among these terms that you’re unsure of or unhappy with, please contact us as soon as possible. If we haven’t heard from you within 14 days of you completing the booking form (where you accepted our terms and conditions), you will be deemed to have accepted these terms and conditions as written. If your booking is within 14 days of this confirmation, the T&Cs are deemed to have been accepted at the date of the form completion.

Your lead presenter, installer or facilitator will contact you directly, usually within a week or two of your event to confirm your event details. If you would like to communicate details of your event sooner, then please get in touch and we will put you in touch with your event lead. If your event is within a week, then the event lead will be in touch sooner.

Our core team are all DBS checked and require to be subscribed to the update service for the very latest info on their DBS status. They will bring ID on the day and provide a date of birth which is required to undertake the check.

Expected time of arrival is anywhere between 1–24 hours before your first show/screening (depending on what you have booked).

  • A typical school booking, requires us to arrive around 90mins before the first show, depending on set up i.e. around 7.30 for a 9.00 start
  • A typical business or event booking, will require anywhere between 2hr and 24hrs depending on set up

Whoever is likely to be on site around this time, please let them know to expect your presenter. If possible, please share a mobile number and name that your presenter can call upon arrival.

All bookings require free on-site allocated parking for our team, no more than 25m from site of installation, as the greater the distance to carry equipment, the greater the risks associated in moving heavy and valuable equipment. Our vehicles consist of small vans, large vans and cars. For security and insurance, we require the vehicle to remain on site all day within your grounds.

If this is not possible, then we may levy a £50 charge to arrange offsite parking, per day

Please contact us ASAP if there are access or parking restrictions they need to be aware of.

It is crucial that your venue or space is fully prepared before we install your experience. We have compiled a  number of documents, including risk assessments, method statements and guides covering the vast number of programs, installations and activities we provide. 

A few reminders:

  • Installation site must be cleaned either the day before or on the day at least 1 hour before we arrive, to ensure no debris, dust or liquids are present at site of installation.
  • Access to the area needs to be smooth, and without obstructions, including steps, steep inclines and thus suitable for our trolleys, or pallets. Typically, we require a minimum of 1m wide clearance to the area of install and sometimes up to 2m wide for larger items. 
  • If in doubt, or if you have stairs, but not a suitable lift, then please contact us so we can assess how best to safely and efficiently carry out your install.

If you are unsure of the best show, simply fill the topics you would like covered and your presenter will select for you.

In line with KCSIE para 302, our presenters will NOT bring a DBS certificate with them. DBS certificates are…

  • out-of-date the moment they’re produced
  • easy to fake
  • easily misused if lost or stolen, as they contain no photo ID
  • not required by OFSTED

However, we require all our presenters to sign up for the Enhanced DBS Update Service, which gives you instant access to the latest information on their record. We hope you’ll agree that this is the most secure method of safeguarding your students.

You’ll find the details you need to check your presenter’s details against the Update Service in the Letter of Assurance in the email sent by the presenter. They will also bring a photographic ID with them on the day for your records.

Please note also that we require our staff to retain their mobile phones with them throughout the day – partly again for safeguarding (e.g. to call emergency services immediately if required), but mostly to operate our systems and view your booking information.

The only exception to the above conditions, is when we have assistants, student helpers, shadowing professionals and last minute staff changes. Where possible, we will inform you on the day if not before, should there be any changes to staffing.

Finally, should your venue have any food allergies, please let us know immediately, so our team does not accidently bring certain food items on to site.

If any of the above differs from your school policies, please alert the staff who will greet your presenter upon arrival so they are ready to make the necessary exceptions.

Your invoice will be sent to you shortly via Quickbooks and not via  personal email. As per our T&Cs, please pay your invoice within 30 days or before our visit, whichever is earlier, unless agreed otherwise in writing. Cheques or cash cannot be accepted on the day. If an invoice has not been cleared before your booking date, we reserve the right to cancel your booking without notice.

If you need to cancel the booking for any reason, please inform us at least 48 hours in advance. We reserve the right to charge and/or hold up to 100% of the booking fee against loss of business (especially during busy/popular times), but will listen to your reasons for cancelling before deciding whether to exercise this right. We will also do our best to help you reschedule if this would be preferable.
